Role-by-role serve-day checklists based on the current training notes. Open any role to review the latest workflow before a weekend or special event.

Camera Operator

Call Time

Expectations

Show up before talk-through and serve for all services on the day you are scheduled.Guide
Wear black or dark clothing, long pants, and comfortable closed-toe shoes so you are not a distraction in the room.Guide
Most volunteers serve an average of two weekends per month, though that can vary based on team availability.Guide

Camera Settings for Roamers in the Worship Center

Set the iris to f2.8 at all times using the large spinning wheel on the left side of the camera.Guide
Make sure auto iris is off. If it is on, the bottom of the screen will show the f-stop with an `A` after it.Guide
Set the silver switch on the left side of the camera to `ISO/dB`.Guide
Turn all ND filters off by clicking down on the ND filter buttons until they are all off. TestGuide
Press `Home` and confirm `FPS: 24 (VFR)`, `Color: V-Log`, `Shutter: 144.0deg`, and `WB: 6300K`.Guide
Use the `2500B` base ISO with `1250` as a common starting point, then adjust with the ISO wheel as needed.Guide
Press `Home` again to exit the menu once settings are confirmed.Guide

Camera Settings for Baptisms

Turn the ND filters on for baptisms by clicking up on the ND filter buttons and adjusting the iris as needed.Guide
Adjust white balance as needed by switching the silver toggle to `WB`, changing the value, and then switching back to `ISO/dB`.Guide
Make sure all outdoor cameras match white balance before recording.Guide
When you bring the cameras back inside, reset them to the worship-center settings above.Guide

Graphics Operator

Before You Arrive

Log into Planning Center and listen to the songs before you serve so you are familiar with the timing, builds, and transitions.Guide

Upon Arrival

Check in on the iPad in the Green Room for all services you are serving.Guide
Confirm with the producer that ProPresenter is already loaded and ready for handoff.Guide

During Run-Through, Service, and Between Services

During the 1:30pm run-through on Saturdays, make a mental note of any lyric, look, flow, verse, or photo changes that come up.Guide
Notes (4)
A member of the communications team, typically Rita, should be listening for speaker-point, verse, and requested-photo changes and taking notes on anything that needs to be updated in the notes they loaded ahead of time.
If note changes are needed, the communications team member should come to the back and work with the graphics operator to make those updates before service or between services.
The communications team member may also remote into the graphics computer from the Worship Center and make the needed changes remotely.
If you are not sure whether something needs to change, check with the communications team member.
Make sure lyrics are showing on the LED wall.Guide
Make any needed changes to song lyrics or song flow order (Verse, Chorus, Bridge, Etc.)Guide
During songs, advance lyrics slightly ahead of when the worship team sings them so the congregation has time to see the next line and process it.Guide

In most cases, you can advance on the last word of the previous line unless there is a longer break before the next lyric line.
Advance lyrics and graphics cleanly during worship, message, and transitions.Guide
During the sermon, if the speaker skips a slide, disable it so you remember it was skipped in later services.Guide
If the speaker goes through points in a different order than planned, rearrange the slides in ProPresenter to match the actual order.Guide
Coordinate timing changes with the producer and video switcher as needed.Guide

After Service

Save any changes that need to carry forward to the next service or weekend.Guide
Report any ProPresenter, LED wall, or lyric-display issues to the producer.Guide

Stage Manager

Call Time

Upon Arrival

Make sure the Check-In iPad is ready for the weekend.Guide
Check yourself in on the iPad for all services you will be serving.Guide
Make sure the PCO timer display is set up.Guide
Confirm the Green Room TVs are powered on and showing the correct feeds.Guide
Place the speaker backup microphone on the clip attached to their table.Guide
As volunteers arrive, make sure both worship and production volunteers check in on the iPad.Guide

During Talk-Through

Pay attention to every transition element you may need to help move, including tables, stools, water, TVs, and props.Guide
When Bill is preaching, assume he wants a table, stool, and water unless told otherwise.Guide
If there is a closing song, confirm when the table or other stage items need to move off the stage.Guide

During Run-Through

Pay attention to how the service flow works from item to item.Guide
Help with any stage transitions discussed during talk-through.Guide

Before Each Service

Make sure Planning Center is on the correct service element and showing the countdown.Guide
At 5 minutes until service starts, call "Pesos" in the Green Room so the band knows the time.Guide
Join the worship team or production team for prayer once the 5-minute reminder is given.Guide
Make sure the iPad is ready to advance the current Planning Center service element.Guide

During Worship

Advance Planning Center so it matches the current service element.Guide
During the last worship song, make sure you know where the speaker is and let them know that we are in the last song.Guide

After Worship

Help with stage transitions as discussed during talk-through and run-through.Guide

During Sermon

As the speaker takes the stage, advance Planning Center to the speaker timer.Guide
If there is a closing song, pay attention to the end of the sermon and make sure the band is ready to take the stage.Guide
At the time set during talk-through, help clear the TV, table, and stool from the stage.Guide

After Each Service

Reset the stage so it is ready for the next service.Guide
Unless it is the last service of the day, loop back to the `Before Each Service` checklist.Guide

Video Switcher / Video Director

Call Time

Saturday 1:00pm / Sunday 7:25am

Pre-Service Setup

Check in on the iPad in the Green Room for both services.Guide
In Dashboard, make sure the switcher `Media Manager` has the correct slides loaded: `Black Need Prayer` and the current speaker name PNG from CG1.Guide
Make sure RedNet is not muted and is set to the correct volume.Guide
Make sure the switcher is set to `Bank 1` and press `PRE`.Guide
On the Panasonic ROPs, move the iris all the way down and then all the way up to pick up current settings, then set it to `3.3` as a starting place for worship and adjust as needed.Guide

During Run-Through

Switch the run-through as though it is a real service.Guide
Pay attention to the worship set and take notes on key parts, instrumentals, verses, and other moments you may want to call during worship.Guide

Saturday Watchback

Get the video suite ready for watchback by holding `Bank 1` and selecting `Bank 8` from the top row of input buttons.Guide
Trigger the watchback macro on the video switcher.Guide
On `ControlBoH`, open `Dante Controller` and route `RedNetAM2 - Video Suite` left and right to `ControlBoH` transmitter channels `01` and `02`.Guide
Open OBS on `ControlBoH`, right-click the preview, choose `Fullscreen Projector (Preview)`, and select `BDM HDMI`.Guide
On the HyperDeck, press play and fast-forward to the start of the service.Guide
After watchback, stop HyperDeck playback and make sure the input is set back to `SDI`.Guide
Close OBS and restore Dante so `RedNetAM2 - Video Suite` left and right receive `AllenHth-DM64` `VIDEO SUITE L` and `VIDEO SUITE R`.Guide
Put the video switcher back on `Bank 1` and press the `PRE` macro.Guide
Make sure the HyperDeck starts recording before second service. If it does not, start it manually.Guide
Before the next service, follow the normal pre-service checklist again.Guide

Prior to Service

30 minutes before service: make sure the Planning Center clock is correct on MiniME4 and is set for the Green Room feed.Guide
15 minutes before service: make sure the timer and preservice video have started and will end when the Planning Center clock reaches `0:00`.Guide
8 minutes before service: make sure the livestream is running on YouTube and Facebook.Guide
5 minutes before service: pray as a team and make sure camera operators are ready to get their cameras up and running.Guide
2 minutes before service: do an intercom check with camera operators and check all Teradek feeds, troubleshooting as needed.Guide
2 seconds before the countdown clock reaches `0:00`, press the `Worship` macro to start the camera feed.Guide

After Each Service

Stop recording on the HyperDeck.Guide
Make sure the Live Stream Host is set to stop the livestream.Guide
Once the room clears out, press `PRE` on the switcher before the doors reopen for the next service.Guide

Lighting Operator

Make sure the the lighting console is on and confirm the correct weekend show file is loaded.Guide
Coordinate any lyric, LED wall, or visual changes with graphics and the producer.Guide

During Service

Execute the programmed cues and adjust intentionally for worship, message, and response moments.Guide
Stay aware of any stage or screen changes that affect the room and respond without becoming distracting.Guide

Post-Service

Shut the system down correctly when the day is complete.Guide
Report any fixture, console, or LED wall issue to the producer or lighting lead.Guide

Back of House Producer

Pre-Service Room and System Setup

Check in on the iPad in the Green Room for both services.Guide
Use Q-Sys Control on the iPad to turn on the control room multiviewers, backstage TVs, and projectors.Guide
Make sure HyperDeck SSDs are installed and still have space.Guide
Make sure video announcements have been transferred from the server to CG2.Guide
On the router panel at `Front Desk / Ultracore RCP-ME`, press `RESET` and then `TAKE` to route all small monitors in the control room.Guide
Turn the MicBoard TV on backstage and refresh the images.Guide
Make sure video announcements are loaded into Pro Video Player.Guide
Make sure the Green Room Clear-Com wall panel volume is up.Guide
Make sure the confidence monitors are turned on.Guide
Grab a radio, turn it on, and keep it with you for the day.Guide
Make sure the small video screen on the HyperDeck is showing the Program feed.Guide

Pre-Service CG, Cameras, and Planning Center

Turn on cameras 1 and 2 and make sure focus and zoom are calibrated.Guide
Set up camera 6.Guide
Turn on CG1 and set the Planning Center link to the current weekend.Guide
Make sure the setlist has not changed since the songs were originally programmed.Guide
Make sure the looks are set up correctly for each song and sermon.Guide
Make sure lyrics are showing on the LED wall.Guide
Make sure all cameras are turned on, working, and have the correct settings. Test cameras 3, 4, and 5, then turn them back off until needed.Guide
Check Planning Center and assign camera operators to camera positions.Guide
Enter the correct announcement-video time in Planning Center.Guide
Make sure the speaker timer is set correctly for the speaker preference.Guide
Bill and Daniel prefer the counter to count up.
Hunter Jones and Rocky prefer the counter to count down.
To make the counter count up in Planning Center, set the speaker sermon element to `0:00`.

During Rehearsal

Make sure the video system is running normally.Guide
Run ProPresenter, or find someone to run it, and check song flow. This is especially needed on Saturdays before the graphics operator arrives at 1:10pm.Guide

After Weekend Recording and Ingest

Make sure recording has been stopped on the HyperDeck.Guide
Take the SSD from the weekend out of the HyperDeck and insert it into the SSD reader behind the livestream host monitors.Guide
If the drive does not show up on the `ControlBoH` computer, power-cycle the SSD reader.Guide
Open Adobe Premiere on `ControlBoH` and load the `Sermons2` project.Guide
If Premiere asks you to find media from the previous week, click `Offline All`.Guide
Delete old media and sequences if you want a fresh project, or keep them if you need to reference the previous week.Guide
Drag the sermon and worship video files you want from the SSD into the Premiere Project panel.Guide
Create a new sequence, place the service clips in it, and rename the sequence `Full Service`.Guide
Trim the beginning and end of the clips, make sure the first clip starts at the beginning of the sequence, and add cross dissolves at the start and end so the video fades up from black and back to black.Guide
Fix anything in the worship or sermon that needs cleanup.Guide
From Finder, go to `Creative Arts > Ministries > Communications > Announcements > Current Weekend Assets` on the Synology and add the weekend `Closer` video to the end of the sequence.Guide
Add music under the closer. Use the band playing out when available, or use walk-in or walkout music recorded before or after service.Guide
Duplicate the sequence and rename the copy `Message Only`.Guide
In the `Message Only` sequence, find the silence between the bumper ending and the speaker beginning to talk, press `c`, and cut the video after the bumper.Guide
Delete everything before the message starts, then delete the empty space so the message shifts to the beginning of the sequence.Guide

Build and Export Deliverables

Make sure you are connected to the `Production` Synology shared folder.Guide
Queue the `Message Only` sequence to export in Adobe Media Encoder by pressing `cmd-m`, setting the location to `Production > Captures > YEAR > MONTH > DATE`, confirming the format is `H.264`, and sending it to Media Encoder.Guide
Queue the `Full Service` sequence the same way and send it to Media Encoder.Guide
In Media Encoder, duplicate both queued items, move the duplicates to the top, and change their format to `MP3`.Guide
Start exporting all four queued items. The two MP3s usually finish quickly and can run while you shut down the rest of the room.Guide

Weekend Shutdown and Delivery

Make sure all cameras are turned off and put away.Guide
In the Q-Sys Admin tab, click `All TVs off`.Guide
Make sure the projectors, MicBoard, confidence monitors, Green Room TVs, and all monitors in the video suite are off.Guide
Make sure batteries and headsets are on chargers and seated correctly.Guide
On the router panel at `Front Desk / Ultracore RCP-ME`, press `BLACKOUT` and then `TAKE` to route all small monitors in the control room.Guide
Upload the MP3 files to Randy's OneDrive using the Chrome shortcut `2023 - OneDrive`, the current series folder, and a new folder named in `YYYY-MM-DD` format.Guide
Shut the monitors off but let the exports continue running.Guide
After the video files finish exporting, upload both `.MP4` files to YouTube from the `Channel content -...` Chrome shortcut while logged in as Rock Point Church.Guide
Rename the videos, choose the current series playlist, add the week's Big Idea to the description, upload the correct custom thumbnail, and confirm the right `Full Service` or `Message Only` playlist.Guide
Leave the rest of the YouTube settings at the default values.Guide
The communications team takes the podcast files and YouTube videos from there.Guide
