Green Room, Planning Center, and service-flow setup

Use this page for the detailed setup steps that support the Stage Manager checklist. The checklist should stay short; this guide carries the instructions, screenshots, and exact settings.

Upon Arrival

Check-In iPad

The Green Room iPad is how worship and production volunteers check in for the weekend. It should be powered, charged, and ready before volunteers begin arriving.

Guide steps

  1. 1. Turn on the Check-In iPad in the Green Room if it is off.
  2. 2. Open the Check-In app.
  3. 3. If the iPad is low, plug it in and leave it charging.
  4. 4. Production volunteers check in using CREATIVE ARTS | PRODUCTION, the worship team uses CREATIVE ARTS | WORSHIP.
  5. 5. Check yourself in, then help worship and production volunteers check in as they arrive.

PCO Timer Display

The Planning Center timer needs to be visible in the Video Control Room so the Green Room feed has the correct countdown.

Guide steps

  1. 1. In the Video Control Room back row of computers, use the third monitor from the right.
  2. 2. If the service flow timer is not showing, open Chrome and go to the current Planning Center Online plan. (CREATIVE ARTS → WEEKEND SERVICES → Current Date)
  3. 3. Open the current WEEKEND SERVICE.
  4. 4. Click the Live view.
  5. 5. Set the screen to Fullscreen Overview.
  6. 6. Select Full Item Length.
  7. 7. Select Dark mode.
  8. 8. Keep the browser windowed and covering the top half of the screen so it composites correctly onto the Green Room feed.

Green Room TVs

The Green Room TVs help the band and speaker track service timing and what is happening on stage.

Related checklist item

  • Confirm the Green Room TVs are powered on and showing the correct feeds.

Guide steps

  • The left TV should show the program feed with the Planning Center timer.
  • The right TV should show the Eye-In-The-Sky view of the stage.
  • If either TV is off, power it on and confirm the correct input or feed is selected.
  • If the timer does not fit in the lower-right corner of the left TV feed, adjust the browser window on the timer computer.

Speaker Microphone

The speaker microphone should be staged before talk-through so it is ready when the speaker arrives.

  • Place the speaker backup microphone on the clip attached to their table.

Guide steps

  1. 1. Go to the microphone charging station.
  2. 2. Take the microphone from the VOX 5 slot.
  3. 3. Place it in the holder on the base of the speaker's table.
  4. 4. Leave the mic visible and easy for the speaker or stage manager to grab.

Planning Center Service Flow

Stage Manager uses Planning Center to stay aligned with the current service item and speaker timing.

  • Make sure Planning Center is on the correct service element and showing the countdown.

Guide steps

  • Use the backstage iPad next to the MicBoard.
  • Confirm Planning Center is on the correct service element before each service begins.
  • Make sure the countdown to service start is visible.
  • During worship, advance Planning Center so it matches the current service element.
  • As the speaker takes the stage, advance Planning Center to the speaker timer.
